Embedding is like embedding a font into a PDF file. In addition to sending designs, we also send actual font data together.
Any device or software can read it when the font is embedded. It doesn’t matter if a specific font is installed. Because the file contains everything you need. This ensures design integrity across different platforms and printing processes.
5. Embedding Fonts in Adobe Software
Embedding fonts in Adobe software is simple. Programs such as Adobe Illustrator, InDesign, and Photoshop typically embed fonts automatically when saving files as PDFs.
Please check the detailed settings when saving. There is a display like this: “All fonts with appropriate embedded bits will be embedded.”
As long as the font license allows, Adobe automatically handles it.
5.1 Step-by-Step: Checking Font Embedding
Don’t just trust the software. Always verify.
- Open your PDF in Adobe Acrobat.
- Click “File” then “Properties“.
- Select the “Fonts” tab.
- Check each font in the list.
You’ll see these flags:
- “Embedded” – Full embedding (perfect).
- “Embedded Subset” – Partial embedding (this works fine).
- No flag – Font not embedded (problem).
We need at least “Embedded Subset” for commercial printing. If you see no flag, the font isn’t embedded. Usually, this means a licensing issue.
6. When Fonts Won't Embed
Sometimes embedding fails. The font’s license might block it. Software limitations can cause problems, too.

- Change to a different font.

- Use the Package feature.
- Create outlines as last resort.
7. Using the Package Feature
Sending source files like .ai or .idml? Use Adobe’s Package feature.
This tool collects everything together: design files, used fonts, linked images. Everything is put together in one folder. The printer will receive a complete package.
Nothing leaks.
8. Creating Outlines: The Last Resort
Can’t embed fonts? Convert text to outlines. In Adobe Illustrator: Select the text and choose the Type > Create Outline. This converts the character to a vector shape. Any printer can process it.
Note: Onxe text is outlined, it will no longer editable. If you need to make changes later, you will have to recreate it from the beginning. The file size also increases. Use outlines only when embedding is not possible.
9. Working with Different Software
Not everyone uses Adobe. The software in the Affinity series allows users to manually set embed options. Please check the export settings carefully.
Microsoft Office and Canva do not display embed settings or prompts. These programs often do not embed fonts properly.
If you are using these tools, be sure to check the final PDF using the Adobe Acrobat method above. Do not omit this procedure in printing in China or other regions.
